Right now, the founder of one of the fastest-growing D2C brands in the UK is spending his time on logins, PDF replies, and calls he doesn't need to be on. That's the problem this role exists to solve.
The business just launched in the USA. It's also in the early stages of a potential fundraise. Both of those landed on top of everything else, and the founder's two highest-value activities, making ad creative and training the team, are getting squeezed by admin that should never have reached him in the first place. He needs someone sharp enough to absorb it all and run with it.

This is a fully remote, full-time role. Open to either employment or contractor status, whichever suits your location.

WHAT YOU'RE GETTING INTO
Own the founder's inbox and calendar end to end: triage everything, kill or handle what you can, and only surface what genuinely needs his input
Chase and close open threads with suppliers, 3PL, agencies and service providers so nothing sits waiting on him
Absorb the ad-hoc internal requests currently landing on his desk, like access, logins and one-off fixes, and route them properly
Sit on calls he doesn't need to be on and report back the outcome, not a transcript
Run point on live projects such as fundraise material and US launch admin, doing the gathering and organising so he can focus on the judgement calls
Screen CVs and coordinate interviews as the team keeps hiring
Handle creator and influencer communications until that hire is in place
Build simple process and documentation as you go, so the business stops depending on one person's memory
WHO YOU ARE
You have 3+ years supporting a founder, CEO or exec inside a fast-growing company, ideally ecommerce or D2C
You've owned projects end to end, not just kept a diary and cleared an inbox
You're a generalist who has handled whatever came up: logistics, suppliers, comms, legal admin, hiring admin
You move fast, reply fast, and act without waiting for a written brief
You read between the lines and know what needs escalating versus what you can just handle
You're calm and organised under pace, not scrappy for the sake of it, but never slow
You're comfortable holding genuinely confidential information: financials, investor material, salaries, supplier terms
You've worked remotely as part of a distributed team
You're fluent in English, spoken and written, and comfortable representing the founder to suppliers, partners and creators
You're proficient in Shopify, Google Workspace and Slack, and you already use Claude or similar AI tools well
Bonus if you've:
Worked in health, wellness, beauty or supplements, especially subscription-based
Supported a fundraise process or a company opening a new market
Used Meta Ads Manager, Klaviyo, Notion, Asana, Loop, Recharge, Triple Whale, Lifetimely or a helpdesk tool like Richpanel
WHAT SUCCESS LOOKS LIKE
First 30 days: You understand how the business runs, who owns what, and how the founder's schedule and priorities actually work. His inbox and calendar are under control, with drafts coming to him for approval. You've already taken the first clear tasks off his plate: invoice queries, ad-hoc access requests, scheduling.
First 60 days: You're triaging the inbox end to end, with drafts he barely needs to touch. You're handling supplier, agency and creator follow-ups independently, sitting in on calls in his place, and running one substantial project, most likely fundraise material or US launch admin, with only light supervision.
First 90 days: You're autonomous on everything recurring. Invoices, ad-hoc requests, low-value calls, and general admin no longer touch the founder's desk at all. You're catching things before they reach him rather than after; the process is documented, and you're already proposing what you should take on next.
